Association Norms

MEMBERS

The Members enrolling in the Association have to pay an annual subscription of Rs.5000/- (Rupees five thousand only), Financial year ending March. Members who fails to renew his/their membership before the end of (financial year April - March) which will result in loss of membership. No member shall be entitled to vote whose subscription is in arrears for a period of three months or more.

EXECUTIVE BODY

The Executive body will form in to sub committees to pursue implementation of the objectives, plans (long term & short term) and events in accordance with the resolutions approved by the members of the General Body. They are to report their periodical reviews of the work done to the President and Secretary of VITA.


EXECUTIVE BODY FUNCTIONS

The President shall preside over all the meetings of the General Body Governing Body and sub-committees. He shall have the right to call for emergency meetings for consideration of urgent matters if any. He can sanction expenditure to the extent of Rs.20,000/- (Rupees Twenty thousand only) at a time in a year subject to subsequent ratification by the Executive Body. In the absence of the President, the Vice-President assumes responsibilities.

The Vice President will assist and deputise the President in the discharge of the duties and responsibilities as enumerated in Rule 6 in respect of the duties of the President. The Vice-President would initiate on compliance of the action taken report on the decisions and suggestions recorded in the minutes of the various meetings of the Committee and General Body.

The Secretary shall be the Chief Executive and shall be in charge of the activities of the management of the Association. He shall be the correspondent. He shall convene meetings in consultation with the President. He shall maintain the minutes of the proceedings of the meetings. He shall carry out action on the resolutions passed by the General Body. He has to place before the General Body every year the revised budget of the financial year and the annual budget for the next year. He shall operate the Bank Account jointly with the Treasurer. He can sanction expenditure to the extent of Rs.9000/- (Rupees Nine thousand only) at a time in a year subject to the subsequent ratification of the Governing Body. He shall look after the day-to-day administration of the Association.

The Treasurer shall be the Chief Custodian of the funds of the Society. He shall maintain all the registers and accounts of the Association. He shall be in charge of all cash and finance of the Association. He shall operate the Bank Account (s) of the Association jointly with the Secretary/President. He shall maintain the Books of accounts, subject it to audit submit Monthly Financial Reports to the Executive Committee and the Annual report to the members. He will be responsible for filing Tax returns and other required Financial documents. Funds The funds of the Association shall be deposited with an approved Bank and withdrawal of funds from bank shall be made jointly and severally by the Treasurer and Secretary/president. The funds of the Association shall be spent only for the attainments of the objectives of the Association and no portion thereof shall be used by or transferred directly to any of the members by any means.

The Executive Director in consultation with the Management Committee will circulate agenda for the meeting, compile minutes of the meeting, circulate action taken reports and review and report performance. He will compile an annual report for information of members. He is authorised to sign statutory and regulatory documents of the association. His tenure of office is one year, subject to replacement/renewal every year. He shall be paid an annual honorarium as per the approval of the committee.
